About the Position
The Washington County Free Library (WCFL) seeks a detail-oriented, full-time Accounting Assistant to support the Library’s Finance Department. Working under the direction of the Chief Financial Officer (CFO), the Accounting Assistant plays a key role in ensuring the accurate entry, maintenance, and review of financial data for both the Washington County Free Library.
The successful candidate will provide essential support across a range of accounting and financial functions, including accounts payable, payment processing, reconciliations, financial recordkeeping, and audit and budget preparation support. This position is heavily focused on financial data entry and requires a high level of accuracy, confidentiality, and attention to detail.

Location: Fletcher Branch (Hagerstown), Washington County Free Library.
Hours: Full-time; 40 hours per week (nonexempt); normal Monday-Friday schedule, but varied days and hours during WCFL’s regular operating schedule are possible; position subject to system-wide reassignment.
Salary range: Anticipated hiring rate will be between $20.00 and $22.50 per hour; benefits provided.
Essential Job Duties and Responsibilities
This list is representative and does not include all duties this position may entail:
- Accurately enters and maintains Accounts Payable, vendor records, and financial data in the Library’s accounting system, including scanning, uploading, and organizing supporting documentation in accordance with internal controls.
- Processes outgoing payments and assists with deposit preparation, petty cash reconciliation, cash drawer reconciliation, and monthly credit card and expense reconciliations to ensure financial accuracy and compliance.
- Reviews financial accounts, ledgers, and spreadsheets for accuracy; supports monthly financial statement preparation; and conducts basic financial analysis under the direction of the Chief Financial Officer.
- Assists with annual budget preparation, audit activities, and the maintenance and archiving of accounting records for both the Washington County Free Library and the Western Maryland Regional Library.
- Supports payroll, procurement, and grant-related financial activities as assigned, including purchase order processing, vendor documentation, and financial reporting.
- Works collaboratively with the Chief Financial Officer and administrative staff to implement, document, and continuously improve accounting processes and procedures while maintaining strict confidentiality and professionalism.
Knowledge, Skills, and Abilities
- Working knowledge of accounting principles and practices, including Generally Accepted Accounting Principles (GAAP) and Governmental Accounting Standards Board (GASB) standards, with the ability to apply them accurately in daily financial operations.
- Ability to enter, review, and maintain financial data within multi-entity accounting systems, including general ledger activity, account coding, vendor records, and documentation supporting IRS 1099 processing.
- Experience with, or the ability to learn and effectively use, accounting software, spreadsheets, and related financial systems to support accounts payable, reconciliations, reporting, and recordkeeping.
- Strong analytical skills with the ability to review, interpret, and verify numerical, statistical, and written financial information for accuracy and completeness.
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks, meet deadlines, and maintain accuracy in a fast-paced, deadline-driven environment.
- Ability to communicate clearly and professionally and to work collaboratively with the Chief Financial Officer, administrative staff, and other internal stakeholders while maintaining confidentiality and professionalism.
Qualifications & Requirements
- Associate degree in accounting or business management required; bachelor’s degree in accounting or business management preferred.
- Coursework, training, or professional experience demonstrating knowledge of accounting principles, including GAAP and GASB standards.
- Experience in public library, nonprofit, or governmental environments preferred, including exposure to fund-based or multi-entity accounting.
- Experience with, or the ability to learn, accounting software and financial systems; experience using Sage accounting software preferred.
- Experience or familiarity with grant financial processing and tracking preferred.
- Familiarity with fund balance accounting and general ledger systems preferred.
- Valid driver’s license required.
